Mission and Vision
Board Member (x9): Serve on a team with other OP ministers, ruling elders, and deacons to help direct the camp fulfill its mission and vision. Oversee a domain of camp activity and serve as the point of contact with the board. Three year term. Qualifications: Ordained OPC officer. Special jobs on board: president, secretary, bookkeeper. President provides leadership to the board, runs meetings. Secretary maintains corporation records, and notes for meetings. Business manager maintains checkbook for BRBC, helps keep us within budget, work with registrar in collecting fees, maintain relationship with Pinecrest, make reports and recommendations to board.
Annual Mission and Vision Meeting (all): All campers are invited to attend our annual Mission and Vision Meeting, held on Thursday at camp. At the meeting you have an opportunity to share your ideas, hear what’s happening, elect officers, and be a part of Family Camp’s future. If that’s something you’d like to be a part of, we hope you’ll be there.
Register
Registrar: The Registrar is to be a responsible adult and a member in good standing in the O.P.C. or a reformed church approved by the board. The camp registrar will work in cooperation with the BRBC Business Manager (Camp Coordinator), managing camp attendance, accommodations, and receipt of payments. The Registrar is responsible for:
Registration (signing up) all attendees for family camp.
Provide attendees with billing information (including allocation of camp credits).
Ensure all camp funds/fees are paid in full by attendees 10 days prior to the start of family camp.
Manage and assign accommodations.
Provide name tags and other requested database information.
Provide Publicity Committee with required T-Shirt numbers two weeks prior to camp.
Provide the Camp Coordinator with the number of campers and meals needed for the week, one week prior to the start of camp.
Collect health screening and liability release forms.
Provide list of attendees to Camp (PCC) administration.
Provide an initial camp registration report to the President for the annual meeting.
Submitting camp attendance report to the Board after the completion of Family Camp, at the scheduled board meeting. Fellowship and Activities
Business Manager: The Business Manager is to be a responsible adult and a member in good standing in the O.P.C. or a reformed church approved by the board. The camp Business Manager will work as the Camp Coordinator in cooperation with the Registrar, managing financial and business-related matters. The Business Manager is responsible for:
Managing payment process, bank accounting, tax filing and security compliance.
Communications with the Camp (PCC), overseeing contractual obligations, regulatory requirements, attendance plans and projected numbers.
Coordinating and communicating to Registrar camp attendance fees, credit assignments and allocations.
Obtaining from Registrar the number of campers and meals needed for the week, providing information to Camp (PCC) one week prior to the start of camp.
Obtaining from Registrar Lodge and Condo requirements needed for the week, providing information to Camp (PCC) one week prior to the start of camp.
Coordinating camp staff and attendee arrival, assisting Registrar with set-up and signage.
Processing and submitting the camp’s financial worksheet to the Camp (PCC) for end of camp payment.
Managing receipt of payments and donations, make proper deposits and allocations.
Securing subsequent camp dates.
Submitting financial report to the Board after the completion of Family Camp, at the scheduled board meeting.
Fellowship & Activities
Sports Coordinator: The Sports Coordinator will organize and oversee camp sports activities; arrange and ensure equipment availability; identify and secure helpers and assistance; facilitate announcements, time and place for team tournaments, games, and other physical activities; and determine participant awards and recognitions. The Sports Coordinator receives one full camp fee credit.
Talent Show Coordinators (x2): help to coordinate the talent show auditions and production, includes auditioning and scheduling ask
Talent Show Emcee: Help announce acts and lead the audience through the show
Talent Show Stage Crew (x2): Help performers during auditions and the show get the materials on stage that they need
Choir Director: Help lead a camp choir though the learning and performance of some music.
Prayer Leaders: before meals, prayer on the hill
Camp Photographer (1+): take photos during camp and creates a slideshow to be shown at camp, take camp photo and share with campers
Music
Pianists (1+): Be available for the meeting time that you have volunteered for at least 10-15 minutes before start time to coordinate with Voice regarding hymns.
Children’s Program
Coordinator (x1): Finds solid, biblical, and reformed material that can be used for all the classes. Recruits (with responsible board member) who should teachers from applicant submission. Writes and communicates schedule for the week. Performs class opening; facilitates music singing; oversees class and coordinates teacher meeting before and during camp as needed. Children’s Program Coordinator receives one full camp fee credit.
Teacher (x4): Four lead teachers are needed for the four age groups. Curriculum will be provided ahead of camp so that teachers have time to prepare. Each teacher will be in charge of their respective morning class from 9:30-11:45, including opening exercises and the craft time; Bible story time, applicable Bible memory exercise, etc. A Teacher receives one full camp fee credit. Those interested in being a teacher should so communicate on camp registration form, or contact Stephen Kotleba at hamartoloskotleba@yahoo.com. A prospective teacher questionnaire/application will be provided. Teachers must be responsible adults and members in good standing in the O.P.C. or a reformed church approved by the board. Please have teacher applications in to Stephen by April 22. Teachers will be confirmed by May 1.
Teacher Assistants (x4 or more): Each day we will need at least one assistant in each of the classes to help out the main teacher. These assistants will give aid where needed, especially in the younger classes! Those interested in being a teacher assistant should so communicate on camp registration form.
Craft Teacher: The craft teacher will arrange sufficient crafts for each of the four classes that go along with the Bible lessons each day. The supplies will be reimbursed. Craft Teacher receives one full camp fee credit. Those interested should so communicate on camp registration form, or contact Stephen Kotleba at hamartoloskotleba@yahoo.com. A prospective teacher questionnaire/application will be provided. Teachers must be a responsible adult and a member in good standing in the OPC. Please have teacher applications in to Stephen by April 22. Teachers will be confirmed by May 1.
Nursery Coordinator: The coordinator will set the schedule for the week, and make sure those signed up arrive on time to help. This coordinator will also arrange for toys to be brought to camp and some Bible story books and coloring pages.
Nursery helpers: We are in need of adult and youth volunteers to be in the nursery each morning and evening. Depending on the number of children, we may need 1 or 2 adults and 1 or 2 youth. We will split up the morning into two shifts so that your time in the nursery is only for half of the morning session.
Safety
Camp Nurse: Qualifications: EMT/RN. Review, organize, and administer health screening and liability forms. Interface with Camp (PCC) administration and provides first aid response and medical assistance. Camp nurse receives one full camp fee credit.
Snacks
Snack and Refreshment Coordinator: The Snack coordinator will arrange the transportation of beverage coolers and coffee makers to camp that are stored at various Presbytery churches. The Snack Coordinator will organize donated snacks, oversee the set up and preparation of snack tables outside chapel with food and drink for the morning and evening break times; and oversee replenishment and clean-up. Snack Coordinator receives one half camp fee credit.
Tech
Team Lead: Serve as point of contact for needs. Recruit and ensure volunteer training. Lead team meetings. Set the tone and expectations. Maintain high standards. Keep communication flowing; share contact information with each other. Make and keep the schedule of who is working when.
Scribe: Ensure that team documentation is up-to-date before and after camp each year. Print and share that with the right people.
Website Maintenance: Make minor website updates throughout the year. We are hosted on GitLab and a Guho theme with Netflify. Qualifications: Able to work with our current tools. Knowledge of html, css.
Tech Assistant (x2): Help to advise and provide technical support as needed with camp needs.
Camp Talks Librarian: Set up a system for securing and sharing our decades worth of amazing talks for the church. Qualifications: A person skilled with data storage and audio sharing.
Equipment Librarian: Oversee the unpacking, packing, and storage of equipment. Qualifications: able to provide safe and secure storage during the year. Tidy packer.
Audio Tech (x4): Serve on a team to provide on-time audio support with no feedback or other distractions. Edit and upload speaker talk. Help to maintain team documentation (procedure checklists, inventories, etc.) that can be used by futures volunteers. Arrive 30 minutes before your assigned meeting. Help to set-up and take down equipment and the beginning and end of camp. Qualifications: can-do spirit, humble helper, reliable worker, team player.
Video Tech (x2): Serve on a team to provide on-time video support (displaying PowerPoint slides). Help to maintain team documentation (procedure checklists, inventories, etc.) that can be used by futures volunteers. Arrive 30 minutes before your assigned meeting. Help to set-up and take down equipment and the beginning and end of camp. Qualifications: can-do spirit, humble helper, reliable worker, team player.
Publicity
T-Shirt Maker: Co-ordinate the design, production, and distribution of the camp T-shirts.
Graphic Designer: Help design and produce posters, bulletin inserts, and camp booklets.
Social Media Manager: Create and Implement a social media outreach strategy
Camp Set Up and Tear Down
Camp Prep Worker (x5): Arrive early to camp to help post signs on restrooms, run errands, set up t-shirts.
Camp Close Worker (x5): Stay to the end and after camp to help post signs on restrooms, run errands, set up t-shirts.
